When a job is completed in Housecall Pro, Reviewflowz asks the customer for a review and credits it to every pro assigned to the job. Your Team Attribution Leaderboard then shows which pros are earning your reviews. See the Housecall Pro integration.
How it works
A pro taps Finish on the job in Housecall Pro.
Within about an hour, the customer becomes a contact in Reviewflowz, with the job and the pros assigned to it.
The request goes out after your delay.
Their review is matched to the job and credited to each pro on it.
What triggers a request
Housecall Pro event | When it fires | What comes across |
A job is completed | Within about an hour: we check Housecall Pro every hour, plus a daily check of the last 2 days | The customer's name, email and phone, the job number, and the employees assigned |
Customers whose notifications are turned off in Housecall Pro are never asked. On connect we import your last 90 days of completed jobs, so your pros get credit for reviews you already have. None of those customers is messaged.
Turn off Housecall Pro's own review requests
Housecall Pro sends its own review request when a job is finished, so your customers would be asked twice. Go to Settings > Notifications > Reviews > Initial request and switch off the Email and Text toggles.
Connect Housecall Pro
API keys come with the Housecall Pro MAX plan, and only an admin can create one.
In Housecall Pro, go to My Apps > All Apps and open API Key Management. Click Generate API Key, name it "Reviewflowz", choose its Permissions and click Generate key, then copy the key. Reviewflowz only reads your company and your jobs, and never writes to Housecall Pro.
In Reviewflowz, open Integrations, go to Automate review requests > Connect another integration and click the Housecall Pro card. Paste the key into API key and click Connect Housecall Pro. A key that can't read your jobs is refused on the spot, with the reason. If Housecall Pro is busy, try again in a minute. Connecting creates a request called "Housecall Pro review requests", switched off.
Running more than one Housecall Pro company? Connect each one with its own key. Syncing shows the exact time from which completed jobs get a request.
Pick the location for your jobs
Jobs belong to sets the one Reviewflowz location a connection points at, which decides the review page your customers see. With one location, it's picked for you. With several, pick one: until you do, requests have no location to point at and are skipped.
Set up the request
Timing. Bright Spark Plumbing & Air emails 3 hours after the job, then reminds 2 days later. Delays run up to 7 days, with up to 3 messages, and follow-ups stop once a customer clicks, reviews or unsubscribes.
Channel. Email, SMS or WhatsApp, one per request, using the customer's details in Housecall Pro. A customer without that detail is skipped.
Message. Bright Spark's From name is "Bright Spark Plumbing & Air", its Subject "How did we do today, {{first_name}}?" and its Button text "Review your visit". Chris Brandt reads "How did we do today, Chris?". Try yours with Send myself a test.
Direct reviews to. Smart routing shows one button and picks the site per customer for your objectives. Bright Spark wants as many Google reviews as possible and a 4.7 on Yelp. Show all options on the email gives each site its own button, on email only.
Turn it on
Click Turn requests on. Only jobs completed after you connect, and while requests are on, get a request. A completed job that reaches us more than 7 days late is recorded but never asked about.
When a job is cancelled
If a job is cancelled in Housecall Pro after we've read it, its unsent request is withdrawn, shown as "Not sent — the job was cancelled in Housecall Pro". The request stays if the customer has another job completed since you connected, or if you added them by CSV or by hand. If nothing was sent, their next completed job brings the request back. A message already sent can't be pulled back.
See what it brings back
The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped. Matt Brandt's Google review is matched to the job and credited to Sam Okafor, the pro on it. Several pros on one job are each credited, for reviews from any site. The Team Attribution Leaderboard ranks them. Change the pros on a job in Housecall Pro and the credit follows when we next read the job.
Good to know
The Connection section shows the Housecall Pro company your key reads and its status.
If a check fails for good, say the key was deleted or the account left the MAX plan, the status turns to Needs attention. Paste a new key through the Housecall Pro card, or the same key once the MAX plan is back. Your location, request and history are kept.
Disconnect stops the hourly checks and keeps your contacts, jobs and requests. Jobs completed while disconnected never get a request.
Nothing is written back to Housecall Pro. The connection only reads.
