How to customize your AI review replies

AI replies on reviewflowz are generated by what we call "AI Agents"


You can create and customize as many AI agents as you need on your reviewflowz account, using our AI Agent editor.


Unlike other solutions, our AI Agents have built-in context memory.


This means that when they're replying to a single review, they have at least 10 reviews – and their replies – in memory.


This allows you to ask it to rotate key phrases in your prompt, and results in much better replies than most ad-hoc response builders.


This post is about how to set up your AI agents to customize the replies they'll generate, and how to use them to generate the right replies to the right reviews.


Default agent


When replying to reviews directly from the reviews list, the app will use the default agent to generate replies.


If you need to customize the replies we're generating from the review list, set one of your agents as the default agent.


Customizing your AI Agent


The AI agent form comes with a few form fields to make your life easier.


  1. The Agent's name: This has no incidence on the agent's performance. Its only purpose is to help you organize your agents in your account.
  2. The Agent's signature: This is an optional field. We ask the agent to end their replies with this signature. In general, we recommend using a first name, or something personal rather than corporate, while still sounding professional. For example, Axel, founder @ Reviewflowz, rather than "The Reviewflowz team". If you leave this field empty, the agent won't sign at the end of its replies.
  3. Language settings: Reviewflowz is one of the only natively multilingual review management solutions. You can ask your AI agents to reply in the same language at all times, or to adapt to the review's language. In both cases, we need you to set a default language so the agent knows what to do when the language is not defined – for example, in the case of reviews with no text.
  4. Custom instructions: This is where things get fun! You can prompt the agent with any set of instructions. Very much like you would prompt chat GPT or Claude directly, except this agent also has a base prompt, and context memory, so it's not necessary to set the context in your prompt every time, and you can reference past replies.


To make your life easier, the prompt auto-saves, and you can test it immediately from the AI Agent editor directly, by clicking "Test Agent".


Here's a (silly) example where I asked the agent to reply to reviews like a pirate.


You can use the Previous review & Next review buttons to test your agent on several reviews easily. We'll also show the review so you can see how it behaves.


That's it! Simple as that.
