Mining Your Reviews for Business Insights

You're sitting on a goldmine of customer feedback. Every review, whether it's on Google, G2, Trustpilot, or any other platform, contains real signals about what your business does well and where it falls short.

The problem? Reading reviews one by one doesn't scale. At 50 reviews, you can keep it all in your head. At 500, you start missing patterns. At 5,000, you're flying blind.

Review mining is the practice of turning that pile of unstructured feedback into clear, actionable insights. It's how you go from "we got a 4.2 average this month" to "customers love our onboarding but our billing experience is generating consistent frustration, and it's getting worse."

This article walks through the core concepts behind review mining, topic extraction, sentiment analysis, and semantic grouping, and shows how Reviewflowz automates each step so you can skip the data science and go straight to the insights.

What's in a review? More than a star rating.

A 4-star review might say: "Love the product, the support team is incredibly responsive, but the pricing page is confusing and I almost didn't sign up."

That single review contains three distinct signals:

  • Positive sentiment about the product itself,

  • Positive sentiment about support

  • And negative sentiment about pricing clarity.

A star rating flattens all of that into one number. Review mining breaks it apart.

The goal is to do this systematically, across all your reviews, on every platform, so you can answer questions like:

  • What topics come up most often in our reviews?

  • How do customers feel about each of those topics specifically?

  • Is sentiment on a particular topic improving or declining over time?

  • Do customers on different platforms care about different things?

Let's look at how each piece works.

Topic extraction — What are people actually talking about?

The manual approach

If you've ever tried to categorize reviews by hand, you know how it goes. You start with a spreadsheet, read each review, and tag it with themes like "support," "pricing," or "ease of use." It works for a while — until you realize one person's "support" tag is another person's "customer service" tag, and half your tags overlap.

The more structured version of this uses a technique from natural language processing (NLP) called TF-IDF — Term Frequency-Inverse Document Frequency.

In plain English, it's a method that identifies which words are unusually common in your reviews compared to normal language. If the word "onboarding" shows up in 40% of your reviews but barely exists in general text, TF-IDF flags it as significant.

You can take this further with n-grams (two-word or three-word phrases like "customer support" or "easy to use") and clustering — grouping similar terms together.

The result? A keyword cloud. Which is a start, but keywords aren't insights. Knowing that "slow" appears 200 times doesn't tell you whether people are talking about slow loading times, slow support responses, or slow onboarding.

But keywords aren't concepts. For example, customer service and customer support aren't the same words, and a strict TF-IDF analysis might not surface both. This is where semantic proximity matters, and where the manual approach usually outperforms automated analysis.

The difference between keywords and topics is the difference between seeing the word "slow" and understanding that it maps to "Customer Support → Response Time."

The AI works like a senior data analyst: it looks at what makes customers extremely happy or extremely unhappy, weighs frequency against intensity, and produces topics that actually mean something to a business team. No one is going to walk into a meeting and say "the word 'slow' appeared 200 times." But "Response Time is our lowest-scoring subtopic under Customer Support, and it's trending downward" — that's a conversation starter.

To set it up: go to Reports → Semantic Analysis and click Enable semantic analysis. That's it. Processing takes a couple of minutes, and the page updates automatically when it's done.

Review extracts — The evidence behind each topic

The manual approach

Once you have topics, you need proof. Which reviews actually talk about response time? What did they say, exactly?

This is the most labor-intensive part of review mining. You're re-reading every review, highlighting relevant sentences, and sorting them into categories.

At scale, it's not just tedious, it's error-prone. Your attention drifts from review #87, and you miss a pattern that only becomes obvious at review #300.

How Reviewflowz handles it

For every review, the AI scans for the most explicit and relevant sentence that relates to each subtopic. A few important rules make this work well:

  • One extract per subtopic per review. If a review mentions response time three times, the system picks the single clearest mention. This prevents a single verbose review from dominating your data.

  • Only confident matches. If a sentence could maybe be about pricing but could also be about something else, it's excluded. No stretching, no guessing. This means you'll occasionally miss a marginal mention, but everything in your extract database is reliable.

  • Verbatim quotes. Extracts are pulled directly from the review — real customer words, not AI paraphrases. When you share these with your team or stakeholders, you're sharing actual customer language.

The result is a searchable, filterable database of customer quotes organized by topic and subtopic. You can find it under Reviews → Sentiment Analysis.

Sentiment scoring — How do people feel about each topic?

Surfacing common themes from a corpus of reviews and extracting the exact sentences that speak to each topic is only half the work though.

The end game is to map all of those extracts on a sentiment axis to be able to determine how people actually feel about those topics.

The manual approach

The obvious way of doing this is to use the review's score.

But this only tells you whether a review is positive or negative overall.

Consider a 5-star review that says: "Absolutely love this tool, it's saved us hours every week. Only frustration is that the reporting feels limited compared to what I expected."

Overall sentiment: positive. But there's a genuine negative signal about reporting buried in there.

If you're only looking at review-level sentiment, you miss it entirely.

To get topic-level sentiment, you'd need to isolate each mention, assess it individually, and score it. Multiply that by hundreds or thousands of reviews, across 15 subtopics.

How Reviewflowz handles it

Every extract gets its own sentiment score on a scale from -1 (very negative) to +1 (very positive). This is per-topic sentiment, not per-review.

That 5-star review with a reporting complaint? It gets a positive sentiment score on the topics it praises and a negative score on "Reporting" — exactly as it should.

Sentiment scores are grouped into three buckets:

  • Positive: score of 0.5 or above

  • Neutral: between -0.5 and 0.5

  • Negative: -0.5 or below

In the reports, these are displayed on a normalized 1-5 scale so they're immediately intuitive — no need to think in decimals.

Seeing the big picture — Three ways to visualize your data

With topics, extracts, and sentiment scores generated, Reviewflowz gives you three visualizations to make sense of it all.

Semantic Counts

This answers the question: What are people talking about, and is the feedback mostly good or mostly bad?

If "Pricing" has a tall bar that's mostly red, you know it's both frequently mentioned and negatively received. If "Ease of Use" has a tall bar that's mostly green, that's a strength to lean into.

This answers the question: Where are we strong and where are we weak, at a glance?

It's particularly useful for executive-level conversations. One look tells you the shape of your customer experience.

This answers the question: Are things getting better or worse?

Did you hire more support agents last quarter? Check if "Customer Support" sentiment ticked up.

Did you raise prices? Watch what happens to "Pricing" sentiment in the weeks after.

This is where review mining becomes a feedback loop for business decisions.

Setting it up — A quick walkthrough

Here's how to get started with semantic analysis in Reviewflowz:

  1. Create your review profiles first. The AI analyzes all connected reviews, so the more data it has, the better the topics will be. If you're only tracking one platform, the topics will reflect that narrow view. Connect everything you've got.

  2. Enable semantic analysis. Go to Reports → Semantic Analysis and click Enable semantic analysis.

  3. Wait a couple of minutes. Processing takes 2-3 minutes. The page auto-refreshes when it's done, and you'll get a notification.

  4. Explore the dashboard. Start with the three visualizations to get the high-level picture. What jumps out?

  5. Drill into the extracts. Go to Reviews → Sentiment Analysis to see individual extracts — the actual customer quotes behind each topic.

  6. Filter. Narrow down by platform, rating, date range, topic, subtopic, language, tags, or keywords. This is where you start finding the specific insights that matter for whatever question you're trying to answer.

  7. Export. Download a CSV of your extracts for further analysis or to share with your team. The export includes the extract content, sentiment score, topic, subtopic, rating, platform, domain, date, and reviewer name.

Getting more out of it

A few ways to go deeper once you're comfortable with the basics:

  • Compare across platforms. Filter extracts by platform to see if customers on Google talk about different things than customers on G2 or Trustpilot. Platform-specific patterns often reveal differences in audience expectations.

  • Measure the impact of changes. Made a product improvement? Hired more support staff? Raised prices? The Sentiment Over Time chart lets you see whether those changes moved the needle in customer perception.

  • Use topics in custom reports. Topics and subtopics are available as dimensions in custom reports, so you can build your own cross-tabulations — for example, sentiment by topic by platform, or topic frequency by star rating.

  • Combine with auto-tagging. Semantic analysis discovers patterns from your reviews automatically. Auto-tagging lets you define your own categories manually. The two complement each other — use AI-discovered topics for exploration, and your own tags for tracking things you already know matter.

From noise to signal

Every business that collects reviews has access to a rich stream of customer feedback. The challenge has never been the data — it's making sense of it.
