How to create and automate custom reports on Reviewflowz

Reviewflowz is one of the only review management solutions on the market that comes with the ability to build your own reports.


But with great power comes some learning curve.


In this post, we'll cover how to create your own custom reports and how to send those reports to any email address you want on a daily, weekly, or monthly basis.




How to set up your own custom reports with Reviewflowz


Head over to your "Custom Reports" page under "Reports" in the sidebar


There are two types of custom reports: "Draft", and "Live" reports.


You can edit, and play around with both, but changing a live report will change the ... live report.


So it's good to have awareness of what's being used by your team currently, and what's just work in progress.


To create a new report, hit the "Create a new report" button on the top right corner


You'll be sent to a custom report editor with a bunch of filters, and three main fields


  1. Chart Type
  2. Dimensions
  3. Metrics


This works very much like pivot tables on Excel, if you're familiar with that system.


Note: The filters on top of the report builder page will update the chart preview only. They will not be saved as part of the chart.


  • Chart type can be "Table", or any chart type like pie chart, bar chart, line chart, etc.
  • Dimensions are what you break down the your data with. On a chart, dimension is usually represented on the X axis.
  • Metrics are the datapoints you're looking for. The data you want broken down. On a chart, dimension is usually represented on the Y axis.


For example, if you wanted to break down positive and negative reviews over time on a bar chart, you'd select


  1. Bar chart
  2. Date period
  3. Positive reviews, Negative reviews (2 different metrics).


The resulting chart would look something like this.


When you select "Date period" as a dimension, the chart comes with a period selector, so you can adjust on the chart directly. The default will be set based on the time range.


For example, if you're looking at a time range of under a week, the period will be set to daily. If you're looking at a time range of over a month, it'll be set to monthly.


Once you're happy with your chart preview, you can save it and add it to one of your live dashboards.


To do that, click "Save this report"


A modal will open for you to name your report, and choose what dashboards you want to add it to.


When naming a report, remember that reports won't have a specific date range associated to it, or any other filters

How to send reports to your team members on a daily, weekly, or monthly basis


Once you've created a report, you can send it over email to anyone on your team.


To do that, head over to the automation engine, and click "Create a new automation flow"


Select the "Reports" type


You'll land on the report automation builder, where you can select from a few options to configure your report email


  1. Channel – At this time, you can only send reports over email. Select a valid email address – or create a new one.
  2. Report Frequency –  You can send reports daily, weekly, or monthly.
  3. **Day & Time of day **– Select at what time we should send out the report. If you've selected a weekly frequency, select what day of the week you want us to send the report. We send monthly reports on the first day of the month.
  4. **Custom reports **– Select what report(s) you want us to send in the email. If they're tables, we'll embed the tables in the email body directly. If they're charts, we'll add a picture of the chart, with the data available at the time of sending.


Don't forget to set the time range you want your reports to be set to.


If you set "Yesterday", the report will show data for the day before it's sent. That makes the most sense for a daily report.


If you set "Previous week", the report will forcefully show data for the previous full week (Monday to Sunday) – even if you send it on Wednesdays.


Hit Save and click "Yes" when asked if you want to activate the automation flow!
