How to set up a review leaderboard for your team
In this post, we'll cover how to set up an automated leaderboard to calculate how many reviews each member of your staff is collecting over a given period, the average rating of their reviews, etc.
What we're aiming for
Here's the report you'll get at the end of this 5' tutorial.
A nice clean table broken down by keywords, which sits on your dashboard, where you can apply all the usual filters.
If your staff knows to get their first name mentioned in their reviews, this will basically replace the spreadsheet which you fill in every month by counting reviews on Google.
And if you need to have a look at what sort of reviews they're bringing in exactly, you can use our advanced search and find all the reviews that mention a member of your team easily. You'll get the exact dates, and all the details about each review, including the reviewer names.
Step 1. Create a custom report
Head over to your dashboard, and click "Create a new Report"
You'll land on the custom reports builder.
Sounds and looks a little intense, but it basically works like pivot tables on Excel.
- Under "Dimensions", pick "Keywords". This will open the keyword editor
- Add at least one keyword for now.
- Under "Metrics", pick all the metrics you want to track. Cumulative review count is the # of reviews ever collected that match this keyword. Review velocity is the # of reviews collected that match this keyword during the dashboard's selected time-frame.
- Under "Chart Type", pick "Table".
Step 2. Add your custom report to your dashboard
Add as many keywords (staff member names) as you need, and check that the report matches your expectations in the preview are on the bottom of the page.
Once you're happy with your report, click "Add this report to your dashboard" on the top right corner of the page.
It'll open a popup asking you to name your report. Name it appropriately, and hit Save.
And that's it! Your report now sits at the bottom of your dashboard.
Any filter you apply to the dashboard will apply to the report. So if you wanted the leaderboard to only show the current month, you'd select "Current Month" in the date dropdown, and that's it!
Editing your custom report
If you need to modify your custom report – to add or remove keywords for example, you can do that from the custom reports page.
That page is separated in two tabs:
- Live reports: Those reports are currently shown on your dashboard.
- Draft reports: Those reports are not being shown on your dashboard.
Find your report, and hit "Edit". You'll have the exact same form as when you created the report for the first time. Adjust accordingly. Every tweak you make is auto-saved so there's no need to do anything else if the report is already live.
