Reply to Google reviews from your phone in 2 minutes with rich email alerts

Turn on Allow replies to respond to reviews straight from your ReviewFlowz email alert. Get an AI draft, edit it, and post it to Google without leaving your inbox. Works in Gmail and Yahoo Mail.

Your ReviewFlowz email alert can now be the place you reply, not just the place you find out. A review comes in, you open the email on your phone, get an AI-drafted reply, tweak it, and post it to Google. You never leave your inbox.

Two things to know up front. You turn this on with one setting: Allow replies set to Yes on an email alert that sends immediately. And the reply-inside-the-email part works fully in Gmail and Yahoo Mail. Other apps like Outlook and Apple Mail still get the email and a one-tap button to reply in the app, so it always arrives and always works.

What "Allow replies" changes in your email alerts

Until now, the alert was read-only. It told you a review came in, and to respond you clicked through, logged in, found the review, and wrote a reply somewhere else. Now the alert itself is where you reply.

Turn Allow replies on, and each review in the email gets its own reply controls:

  • ✨ Get AI Reply drafts a suggested reply with your account's AI, tuned to your tone.

  • A reply box you type in, or edit the suggestion in.

  • Submit Reply posts it live to the platform, straight from the inbox.

  • View on [Platform] opens the review on the platform itself.

There's also an Open in Reviewflowz link at the top of every email. It opens the review list filtered to just that email's reviews, for anyone who'd rather work in the app.

One email holds the reviews from each sending cycle, one card each, the same grouping you get today. It shows up to 25 cards. If more than that arrive at once, the email adds a "+ N more new reviews. See them in Reviewflowz" line so it never gets unwieldy.

Turn it on

Allow replies lives on the email alert itself. Here's the full setup, from scratch:

  1. Go to Automation and open the Alerts tab.

  2. Create a new email alert, or edit an existing one.

  3. Set the trigger to All reviews.

  4. Set the timing to Immediately.

  5. Set the destination to Email.

  6. Choose the recipients who should get it.

  7. Set Allow replies to Yes.

  8. Save the alert.

That's it. The next review that comes in reaches those recipients as an interactive email.

It only works on immediate alerts

Reply controls are for Immediately alerts only. The Every day and Every week timings send a recap, and recaps don't carry the reply box.

Leave Allow replies on No and recipients still get the same review cards, just without the reply box. They get the link to reply in the app instead.

Slack and Teams have the same switch

Allow replies also exists on Slack and Microsoft Teams alerts, with a different mechanism behind it. This article is about email.

Reply to a review from your inbox

This is the two-minute part. Open the email on your phone, tap, done.

  1. A review comes in, and you get the alert email.

  2. Under the review, tap ✨ Get AI Reply. The button changes to ✨ Generating your reply… and the box shows a loading placeholder, then fills with a suggested reply.

  3. Edit it, or write your own from scratch.

  4. Tap Submit Reply. It posts to the platform and the email confirms: Your reply is now live.

The draft follows your account's reply setup, the same engine that powers in-app suggestions, so it sounds like you and gets better as you configure your reply style. Prefer the app? Use the Open in Reviewflowz link at the top of the email.

Will it work in your email app?

The reply-inside-the-email experience uses AMP for Email, the same technology behind one-click RSVP and live content in Gmail. Only some email clients support it, so what you see depends on your app.

Both versions carry the Open in Reviewflowz link at the top. So the email always arrives and always works. Only the reply-in-place controls depend on your client, and everyone else gets a one-tap path to reply in the app.

Nothing to set up for Gmail

You don't do anything to switch on the interactive version. It's handled for you. Turn on Allow replies, and Gmail and Yahoo recipients get the interactive email automatically.

Good to know before you reply

A few behaviors worth knowing, because posting a public reply is not something you undo.

Don't forward these emails. Each recipient gets their own email with their own secure, signed link, scoped to that review and that person. Forward it and you're handing someone a link that can post a public reply in your name.

  • Reply links expire. A link is good for about 6 hours and works once. After that, Get AI Reply or Submit shows "This link has expired. Open the review in Reviewflowz to reply." Use the Open in Reviewflowz link to carry on. This is deliberate, because a public reply is irreversible, so the shortcut is time-boxed.

  • Replies are public and immediate. Submit posts it live right away. There's no undo from the email. To change or remove a reply, edit or delete it on the platform or in ReviewFlowz.

  • One reply per review. Once a review has a published reply, from the email, the app, or a teammate, it won't take a second. The first published reply wins, and anyone else sees "This review already has a reply."

  • Anyone on the alert can reply. Whoever sees it first handles it. No assigning, no handing off, no waiting for one admin.

Which platforms it posts to

The reply posts to whatever platform the review is on, for the platforms ReviewFlowz can post to: Google (Business Profile and Maps), the App Store and Google Play, Trustpilot, and Facebook. Reply-from-email uses the same posting engine as the app, so the reply appears publicly exactly as it would from the app.

A review from any other source still shows in the email, but you open it in the app to reply, you can't post from the email.
