AppFolio integration: review requests after every move-in and completed work order

Ask AppFolio residents and owners for a review after move-ins, leases, move-outs and completed work orders, with staff and vendor credit.

Reviewflowz asks AppFolio residents for a review when they move in, sign or renew a lease, move out, or have a work order completed, and asks owners once a tenant is placed. Each event has its own request, channel and message. A review on a completed work order credits the vendor and staff member who did the work. See the AppFolio integration.

How it works

  1. A work order is marked Completed in AppFolio, or a resident moves in.

  2. The resident becomes a contact in Reviewflowz.

  3. The request for that event goes out after your delay.

  4. Their review is matched back to the work order, and the vendor and assigned staff member are credited.

What triggers a request

Six triggers, each switched on separately, all off to start.

We read the name, email and phone, plus the vendor and assigned user on work orders. A future move-in counts on the day. A resident who matches two triggers, say a move-in and a repair, gets both requests.

AppFolio sends no notifications, so we read your reports every hour, looking back three days each time. A request is queued within about an hour of the event.

Connect AppFolio

You need AppFolio Plus or Max, because Core has no API. On Plus, your AppFolio rep may need to switch on the Reports API.

In AppFolio, open the account menu, then General Settings, then Manage API Settings. On the Reports API Credentials tab, click Generate New Credentials and copy the Client ID and Client Secret.

In Reviewflowz, open Integrations, then the Automate review requests tab, and click the AppFolio card. Enter your AppFolio address (the one you sign in at, like harborview.appfolio.com), the Client ID and the Client Secret, then click Connect AppFolio.

Link your properties to locations

Under Properties, give each Property in AppFolio a Location. That location decides which review page the request points to. A property left Not linked isn't read at all. Linking imports its last 90 days for matching only, and none of those residents is asked. Added a property? Click Refresh list.

Set up the requests

Click + Add a trigger, pick the event under Trigger on and switch the row on. That creates its own request as a draft, linked from the row's Sends to, so you tune each one to its moment.

AppFolio triggers for review requests
  • Delay. Text a resident 3 hours after a work order closes, with a reminder 2 days later. Email a new resident 7 days after move-in, once the boxes are unpacked. Options run from as soon as possible to 7 days, with up to 3 messages. Follow-ups stop once the resident clicks, reviews or unsubscribes.

  • Channel. Each trigger has its own: SMS for work orders, email for move-ins. There's no fallback, and the panel shows how many recent residents had no email or phone in AppFolio. They're still kept, so their review can be matched by name.

  • Message. Email takes a From name ("Harborview Residential"), subject, body and button text, with {{first_name}}. SMS counts to 160 characters, link included. WhatsApp uses an approved template. Send myself a test before going live.

  • Direct reviews to. Smart routing gives one button and picks the site per resident, aiming for the most reviews, a target rating or a target number of 5-star reviews. Show all options on the email lists every site, on email only.

Turn it on

Open each request from Sends to, finish it and click Turn requests on. Only events after you connected and linked the property get a request, and only if the row was on when we first saw them. The panel shows Sending requests for events since that date.

See what it brings back

The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped. A review matched to a completed work order credits the vendor and the assigned staff member. They show on the review card and on the Team Attribution Leaderboard, where a vendor like Coastal Appliance Repair ranks next to Elena Ruiz from your own team. The CRM Integration widget on your Dashboard tracks the totals.

Good to know

  • Staff credit applies to work orders only. Move-ins, leases, renewals and move-outs credit no one.

  • Nothing is written back to AppFolio. The connection only reads.

  • Only the teammate who connected AppFolio can change its settings.

  • Regenerated credentials or a plan change show Access refused. Disconnect and reconnect with new credentials. Property links and triggers are kept.

  • Deleting a trigger keeps its request, paused.
