When a resident moves in, renews their lease or has a work order completed in Rentvine, Reviewflowz asks them for a review. All three moments feed one request, so a resident is asked once, and the review that comes back is matched to that resident.
How it works
A resident moves in, renews their lease, or has a work order completed in Rentvine.
Reviewflowz reads your leases and work orders once an hour, so the moment reaches it within about an hour.
The request goes out after your delay, by email or text.
The resident's review is matched back to them.
What triggers a request
Trigger | When it fires | Who is asked |
A resident moves in | The lease is active and its move-in date has arrived | The residents on the lease |
A resident renews their lease | The new lease term starts | The residents on the lease |
A resident's work order is completed | The work order is completed in Rentvine | A tenant on the lease |
The three triggers are off when you connect. Switch on the ones you want, and they all feed one request, Rentvine. Here, Palmetto Key Property Management has switched on all three.
Residents aren't asked when your business or the resident is in the EU, the UK or Switzerland.
When you link a property, its last 90 days of move-ins, renewals and completed work orders are imported so reviews still match. Nobody is messaged for those.
After switching all three triggers on
Connect Rentvine
You connect with three values: your account name, an API key and an API secret.
Account name. The part before .rentvine.com in your Rentvine web address. Palmetto Key's is palmettokey.
API key and secret. In Rentvine, click your initials at the bottom left, then Settings, Users, Roles, & API and the API tab. Click New API Key, name it Reviewflowz, pick a role that can see the leases and work orders you want residents asked about, and click Save. Copy the key and the secret right away: Rentvine shows the secret once. Rentvine's account settings guide shows the same screens.
Cost. The Rentvine API is included in your subscription with no extra charge (Rentvine's guide to its Open API).
Turnaround. Right away: you create the key yourself.
In Reviewflowz, open Integrations, go to the Automate Review Requests tab and click the Rentvine card. If you already have an integration connected there, click Connect another integration first. Fill in Account name, API key and API secret, then click Connect Rentvine. The Connection card shows your Rentvine account with Status: Connected.
Link your properties to locations
Under Properties, link each Property in Rentvine to the Reviewflowz location whose review profiles its residents should see. Properties you leave unlinked are not read. Palmetto Key links 1418 Coconut Palm Dr and Bayside Flats to Fort Myers, 2290 Heron Way and 77 Gulf Shore Ln to Naples, and leaves Sunrise Plaza Suite 4 unlinked. If your Reviewflowz account has one location, the first time you connect, your Rentvine properties are linked for you, except commercial ones. Added a property later? Click Refresh list and link it.
Set up the request
Timing. Palmetto Key sends its request 3 days after the move-in, renewal or completed work order.
Channel. Email or text, set per message.
Message. The From name is "Palmetto Key Property Management", the Subject "How is everything at home, {{first_name}}?", which Dana Price reads as "How is everything at home, Dana?", and the Button text "Review us on Google". Try yours with Send myself a test.
Direct reviews to. Smart routing gives one button, and your goal for reviews decides which site it opens. Palmetto Key aims to get as many Google reviews as possible. Show all options on the email lists all your review sites instead.
Turn it on
Requests only go out once you turn them on. Open Rentvine in Requests, click Turn requests on, then Turn on. A move-in, renewal or work order that Reviewflowz reads before you turn requests on is not asked about. The Syncing panel's Asking residents about events after shows the day you connected. Linking a property or switching a trigger on can start a later date for that property or trigger.
When a lease or work order changes
If a lease is closed, a resident is taken off the lease or moves out, or a work order is cancelled or reopened before the request goes out, the request is withdrawn.
See what it brings back
A review that comes back through a request is matched to the resident it was sent to. The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped for the Rentvine request. Under Reports > Dashboard, the CRM Integration widget with the Rentvine pill tracks New Requests, Links clicked and Reviews Matched from Rentvine.
Good to know
Create a new API key for Reviewflowz rather than regenerating one you already use, so your other tools keep working.
The role you give the key decides which properties Reviewflowz can see. If a property is missing from the list, give the key a role that can see it, then click Refresh list.
If the key is deleted or its secret regenerated, the card shows Reconnect needed. Create a new key and enter it with Enter new credentials. Your property links and request stay as they are.
If the card shows Action needed in Rentvine, give the key a role that can see your leases and work orders under Settings, then Users, Roles, & API. Reviewflowz checks again daily and picks up once Rentvine allows it.
Disconnect withdraws the requests that haven't gone out.
