Entrata integration: review requests after a move-in or a completed work order

Connect Entrata and residents are asked for a review after they move in or a work order is completed, with work order reviews credited to the technician.

When a resident moves in, or a work order is completed in Entrata, Reviewflowz asks the resident for a review of their property. A review about a work order is matched to it and credited to the technician assigned to it.

How it works

  1. A resident's move-in date arrives in Entrata, or a work order is completed.

  2. Within about two hours, Reviewflowz reads it.

  3. The request goes out after the delay you set on it.

  4. The resident's review is matched to the property, and a work order review to its technician.

What triggers a request

Trigger

When it fires

Who is asked

A resident moves in

The lease's move-in date has begun, with the lease Current or Notice

Each resident on the lease, roommates included

A work order is completed

Entrata shows the work order completed

Both start off. Switch on the ones you want, and each feeds its own request: Entrata move-in and Entrata work order completed.

When your company or the resident is in the EU, the UK or Switzerland, the resident isn't asked.

When you link a property, its last 90 days of move-ins and work orders are imported, so reviews you already have are matched. Nobody is messaged for those.

Connect Entrata

You need an Entrata API key and your Entrata subdomain.

Get your API key. Your Entrata Customer Success Manager sets up an Internal API User with an API key for your company. Send your CSM this:

Please set up an Internal API User with an API key for our company, with access to the getProperties, getLeases and getWorkOrders web services for all our properties. We'll use it to connect Reviewflowz.

Once it's set up, sign in to developer.entrata.com, open Catalog, then My Subscriptions, and copy the API key.

Find your subdomain. It's the first part of the address you sign in to Entrata at. For juniperridge.entrata.com, it's juniperridge.

In Reviewflowz, open Integrations, go to the Automate Review Requests tab and click the Entrata card. If you already have an integration connected there, click Connect another integration first. Fill in the Entrata subdomain, paste the API key, and leave Entrata server on United States unless Entrata told you your company is on its European server. Click Connect Entrata. Your Entrata properties fill the list. Then switch on the moments you want.

Link your properties to locations

Give each Property in Entrata you want review requests for the Reviewflowz location whose review profiles its residents should see. Juniper Ridge Living links Juniper Ridge Apartments and Aspen Commons to their own locations and leaves Cottonwood Flats Not linked. A property you leave unlinked isn't read. If your Reviewflowz account has one location, every Entrata property is linked to it for you the first time you connect.

Set up the requests

  • Timing. Each request has its own delay. Juniper Ridge Living asks 3 days after a move-in and 3 hours after a work order is completed. Follow-ups stop once a resident clicks, reviews or unsubscribes.

  • Channel. Email, SMS or WhatsApp, set per message.

  • The move-in message. Juniper Ridge's From name is "Juniper Ridge Living", the Subject "Welcome home, {{first_name}}", which Nadia Okafor reads as "Welcome home, Nadia", and the Button text "Leave a review".

  • The work order message. The Subject is "How did we do, {{first_name}}?".

  • Direct reviews to. Smart routing gives one button, and your goal for reviews decides which site it opens. Juniper Ridge aims for as many Google reviews as possible. Show all options on the email lists every site instead.

Turn it on

Open Entrata move-in and Entrata work order completed in Requests and click Turn requests on in each. The Syncing panel's Asking residents about move-ins and work orders after shows when you started.

When a move-in or work order changes

If a move-in is cancelled, a resident is removed from the lease, or a work order is deleted or reopened before its request goes out, the request is withdrawn.

Every review is matched to the resident and the property. A review about a work order is credited to the technician assigned to it: Caleb Corrigan's five star Google review lands on Owen Pratt at Juniper Ridge Apartments. Reports > Dashboard > Team Attribution Leaderboard ranks your technicians by the reviews they earn.

Good to know

  • If the API key is turned off or replaced in Entrata, the card turns red. Ask your CSM for the current key, copy it from developer.entrata.com under Catalog, then My Subscriptions, and enter it with Enter new credentials. Your property links and requests stay as they are.

  • If the card says Entrata is asking your company to accept its API agreement, ask your CSM, or write to [email protected], to accept it. If it says your key can't read everything, ask your CSM to give the API user getProperties, getLeases and getWorkOrders. Either way, we check again every day and pick it up on our own.

  • The Syncing panel counts residents who can't be asked, such as a resident with no email or phone. They're still kept, so a review from that resident is matched by name.

  • Disconnect stops the reads and withdraws every request that hasn't gone out.
