When a client signs in to a class or arrives for an appointment in Mindbody, Reviewflowz asks them for a review and credits it to the instructor or practitioner. Your Team Attribution Leaderboard then shows which of your team earn your reviews.
How it works
A client signs in to a class, or arrives for an appointment, in Mindbody.
Mindbody sends us the visit as it happens, and the client becomes a contact in Reviewflowz.
The request goes out after your delay.
Their review is matched to the visit and credited to the instructor or practitioner.
What triggers a request
Trigger | When it fires | Credit goes to |
A client signs in to a class | As it happens: Mindbody sends us each visit | The class's instructor |
A client arrives for an appointment | Once the next daily check confirms it was paid with one of your own pricing options | The practitioner |
Both are on once you connect; switch off any you don't want. Clients who booked through ClassPass, Wellhub or similar are never asked, and neither are late or early cancellations or no-shows. In the EU, EEA, UK and Switzerland, we ask only clients who agreed to your marketing emails in Mindbody, and to your texts for a text request.
On connect we import your recent visits to match reviews to your team. To credit reviews you already have, click Attribute past reviews on your Team page. None of those clients is messaged.
Connect Mindbody
In Reviewflowz, open Integrations, go to Automate review requests > Connect another integration and click the Mindbody card. Enter your Site ID, the number in your Mindbody address after studioid=, and click Connect Mindbody. There's nothing secret to paste.
In Mindbody, the studio owner approves Reviewflowz with the Activation code we show:
Sign in to Mindbody as the studio owner.
Open Manager Tools, then Mindbody Add Ons, then API Integrations.
Enter the activation code and confirm. Open the approval page does the same in one click.
Back in Reviewflowz, under Confirm this is your site, sign in with the studio owner's Mindbody login, or an admin's, and click Check activation. We use it for this one check and never store it. A staff member's login can't confirm the site. Connecting creates a request called "Mindbody review requests", switched off.
Link your locations
Link each Mindbody location to the Reviewflowz location whose review page its clients should see. Juniper Hot Yoga links Juniper - Hawthorne to Juniper Hot Yoga Hawthorne and Juniper - Pearl District to Juniper Hot Yoga Pearl. Until a location is linked, nobody from Mindbody is asked. Added a location in Mindbody? Click Refresh list. If your Reviewflowz account has one location, every visit goes there without linking.
Set up the request
Timing. Juniper emails 120 minutes after the visit, then reminds 3 days later. Delays go up to 7 days, with up to 3 messages, and follow-ups stop once a client clicks, reviews or unsubscribes.
Channel. Email, SMS or WhatsApp, one per request.
Message. Juniper's From name is "Juniper Hot Yoga", its Subject "How was class today, {{first_name}}?" and its Button text "Review your class". Owen reads "How was class today, Owen?". Try yours with Send myself a test.
Direct reviews to. Smart routing shows one button and picks the site per client for your objectives. Juniper wants as many Google reviews as possible and a 4.7 on Yelp. Show all options on the email gives each site its own button, on email only.
Turn it on
Open "Mindbody review requests", set your message and click Turn requests on. A client is asked for a visit after you've connected, linked its location, switched its trigger on and turned requests on. Earlier visits aren't asked. A visit that reaches us more than 7 days after it happened is recorded, never asked about.
When a visit is cancelled
A cancelled class or appointment, or a visit corrected to not arrived, withdraws its unsent request. In the EU, EEA, UK and Switzerland, a client who later opts out of your marketing in Mindbody has their unsent request withdrawn too. A message already sent can't be pulled back.
See what it brings back
The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped. Zoe Rhodes's Google review of Juniper Hot Yoga is credited to Sam Lindqvist, the instructor on the class. The Team Attribution Leaderboard ranks your instructors and practitioners, and the CRM Integration widget tracks requests, links clicked and reviews matched.
Good to know
Syncing shows the last visit received, the time from which visits get a request, and Mindbody checks this month: how many of the 300 checks we make with Mindbody each month are used.
Connection shows your Mindbody site and its status.
If the owner removes Reviewflowz under API Integrations, the status shows Access removed. Disconnect and connect again to get a new activation code. Your location links and triggers are kept.
Each Mindbody site connects to one Reviewflowz account. If yours is connected elsewhere, write to us and we'll move it over.
Only the teammate who connected Mindbody can change its settings.
Disconnect stops receiving your visits and keeps your contacts, requests and location links.
Nothing is written back to Mindbody.
