Hostaway integration: review requests after every direct-booking checkout

Connect Hostaway and ask every guest who booked directly for a review after checkout, matched to their stay.

When a guest who booked directly checks out of a Hostaway listing, Reviewflowz asks them for a review of their stay. Every review that comes back is matched to the stay it came from.

How it works

  1. A direct-booking guest checks out of one of your Hostaway listings.

  2. Within the hour, the guest becomes a contact in Reviewflowz.

  3. The request goes out after your delay.

  4. Their review is matched to the stay.

A guest checks out

Within the hour: we read your checkouts every hour, looking back three days. Cancellations and changes reach us from Hostaway as they happen.

Guests who booked on your own website or booking engine

Checkout is the reservation's departure date at the listing's checkout time, in the listing's own time zone. A listing with no checkout time checks out at the end of the departure day.

Guests who booked through Airbnb, Booking.com, Vrbo, Expedia or any other booking channel are never messaged: they belong to that channel's own messaging. Neither are guests at listings in the EU, the UK, Norway, Iceland or Liechtenstein, guests at a listing with no country set in Hostaway, or guests with no email or phone. All their stays are kept, so their reviews still match to the stay. Owner stays are skipped.

On connect we import your last 90 days of checkouts, so reviews you already have are matched to their stay. None of those guests is messaged.

A checkout that reaches us more than 7 days after it happened is kept for matching, and that guest isn't asked.

Connect Hostaway

In Hostaway, open Settings, then Hostaway API, and click Create. Name it "Reviewflowz" and pick Hostaway Public API as the Partner. Copy the Account ID and the API secret from the window that opens: Hostaway shows the secret only once.

In Reviewflowz, open Integrations, go to Automate review requests > Connect another integration and click the Hostaway card. Paste your Account ID and API secret and click Connect Hostaway. The secret is stored encrypted and never shown back. No approval from Hostaway is needed. Connecting creates a request called "Hostaway review requests", switched off.

Link your listings to locations

Link each listing to the Reviewflowz location whose review page its guests should see. Saltmarsh Bay Stays links Dock Square Studio and Goose Rocks Beach House to Saltmarsh Bay Kennebunkport, and Marginal Way Suite to Saltmarsh Bay Ogunquit. Listings you leave unlinked aren't read. Linking a listing imports its last 90 days of checkouts, for matching only. Added a listing in Hostaway? Click Refresh list. With one location, every listing you have when you connect is linked for you.

Set up the request

  • Timing. Saltmarsh Bay emails 1 day after checkout, then reminds 3 days later. Delays go up to 7 days, with up to 3 messages, and follow-ups stop once a guest clicks, reviews or unsubscribes.

  • Channel. Email, SMS or WhatsApp, one per request.

  • Message. The From name is "Saltmarsh Bay Stays", the Subject "How was your stay in Maine, {{first_name}}?" and the Button text "Review your stay". Morgan reads "How was your stay in Maine, Morgan?". Try yours with Send myself a test.

  • Direct reviews to. Smart routing shows one button and picks the site per guest for your objectives. Saltmarsh Bay wants as many Google reviews as possible and a 4.8 on Tripadvisor. Show all options on the email gives each site its own button, on email only.

Turn it on

Open "Hostaway review requests" from Sends to, finish the message and click Turn requests on. Syncing shows Sending requests for checkouts after. A checkout gets a request once you've connected, linked its listing and turned requests on. Guests who checked out while requests were off aren't asked later.

When a reservation is cancelled

If a reservation is cancelled in Hostaway, moves to a booking channel, or its guest email is corrected, the unsent request that stay created is withdrawn. It stays if another direct stay of the same guest still qualifies. A message already sent can't be pulled back.

Good to know

  • Syncing counts your checkouts in the last 30 days and tells you how many weren't asked, and why.

  • If Hostaway stops accepting the API secret, say it was deleted or replaced, an Access refused card appears. Disconnect and connect again with a working secret. Your listing links are kept.

  • Only an account admin can connect or disconnect Hostaway, and only the teammate who connected it can change its settings.

  • Disconnect stops reading your reservations and cancels the requests still waiting to go out. Your contacts, request and listing links are kept.

  • Door codes, notes and payment details are never stored, and your reservations in Hostaway are never changed.
