When you check out a customer in Vagaro, Reviewflowz asks them for a review on Google, Yelp or wherever you need it most, after the delay you set. The review that comes back is credited to the stylist who did the work.
How it works
You check out a customer in Vagaro.
Vagaro tells us right away, and we look up the customer's name, email and phone, and the stylist on the visit.
The request goes out after your delay, by email, SMS or WhatsApp.
The review is matched to the visit and credited to the stylist.
What triggers a request
Trigger | When it fires | Who is asked |
A customer checks out | As soon as Vagaro sends the checkout | The customer on the checkout |
A checkout for services, add-ons, classes or products counts as a visit. The trigger is on from the moment you connect and feeds one request, Vagaro checkout.
Requests start with the first checkout after you create the webhook in Vagaro.
Connect Vagaro
Vagaro connects in two parts, and you need both: your API credentials, so we can look up who checked out and which stylist served them, and a webhook, so Vagaro tells us when a customer checks out.
Get API access. Vagaro switches on API and webhook access for each business. In Vagaro, open Settings, then Developers, then APIs & Webhooks, and request access through Contact Us there. Vagaro approves it in about 5 business days and bills it on your Vagaro account.
In Vagaro, Settings > APIs & Webhooks: click Contact Us to ask Vagaro to switch on API access.
Copy your credentials. Once Vagaro approves you, the same page shows your Client ID and Client Secret. Your region is the start of the address you sign in to Vagaro at: for us04.vagaro.com, it's us04.
Once approved, the API tab shows your Client ID and Client Secret. Click Copy next to each.
In Reviewflowz, open Integrations, go to the Automate Review Requests tab and click the Vagaro card. If you already have an integration connected there, click Connect another integration first. Fill in Region (or paste your Vagaro address), Client ID and Client Secret, then click Connect Vagaro.
Create the webhook. The Syncing panel now shows your Webhook URL. In Vagaro, open Settings, then Developers, then APIs & Webhooks, open the Webhooks tab and click Create Webhook. Name it Reviewflowz, paste the URL into Webhook Endpoint URL, tick Transactions and pick your Location. With several locations, pick the Group: one webhook covers every location in it. Click Create Webhook. The URL carries a secret, so treat it like a password.
On the Webhooks tab, click Create Webhook.
Paste the Reviewflowz Webhook URL, tick Transactions, pick your Location and click Create Webhook.
Vagaro's getting started guide shows the same screens.
Link your Vagaro locations
Under Locations, give each Location in Vagaro the Reviewflowz location whose review page its customers should see. Lumen Day Spa links its Scottsdale spa to its Lumen Day Spa location. A checkout at a location you haven't linked uses the Fall back to location. With one location, it's linked for you. Opened a location in Vagaro? Click Refresh list.
Set up the request
Timing. Lumen Day Spa emails 3 hours after checkout, while the treatment is still fresh, with a reminder 2 days later. Pick from as soon as possible to 7 days, with up to 3 messages. Follow-ups stop once a customer clicks, reviews or unsubscribes.
Channel. Email, SMS or WhatsApp, one per request, to the email or phone on the customer's Vagaro profile.
Message. Lumen's From name is "Lumen Day Spa", its subject "How are you feeling, {{first_name}}?", which Brooke sees as "How are you feeling, Brooke?", and its button "Share your visit". Try yours with Send myself a test.
Direct reviews to. Smart routing gives one button and picks Google or Yelp per customer, here toward a 4.9 Google rating. Show all options on the email shows both sites as buttons.
Turn it on
The Vagaro checkout request starts as a draft. Finish it, then open it in Requests, click Turn requests on, then Turn on.
See what it brings back
The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped, and shows the stylist on each customer's visit in its own column. Each review is credited to the stylist who did the work, and a checkout with several stylists credits each of them.
The Team Attribution Leaderboard under Reports > Dashboard ranks your stylists by the reviews they earn. The CRM Integration widget tracks requests, links clicked and reviews matched from Vagaro.
Good to know
Booking an appointment doesn't trigger a request. The checkout does.
Vagaro's own reviews stay on your Vagaro Listing Page. Leave them on: this adds Google and Yelp.
If Vagaro stops accepting your credentials, the card turns red. Copy the Client ID and Client Secret again from APIs & Webhooks and click Enter new credentials.
Disconnect stops reading Vagaro and cancels requests that haven't gone out. Your contacts, request and location links stay, and you can reconnect any time.
