Reviewflowz asks your Square customers for a review when a payment goes through, an appointment is over or an invoice is paid in full. Each review is credited to the team member on the visit, so you can see which barber or stylist is earning your Google reviews. See the Square integration.
How it works
A payment, appointment or invoice is completed in Square.
The customer from your Customer Directory becomes a contact in Reviewflowz, with their Square location and team member.
Your request goes out after the delay you set, by email, SMS or WhatsApp.
Their review is matched to the visit and credited to that team member.
What triggers a request
Trigger in Reviewflowz | What counts in Square | Who gets credit |
Payment completed | A completed payment, in person or online, card or cash. Refunded or voided payments drop out | The team member who took the payment |
Appointment completed | An accepted booking in Square Appointments, once its end time has passed. No-shows, declines and cancellations drop out | Every team member on the booked services |
Invoice paid | An invoice paid in full | The team member on the payment that settled it, if any |
Each trigger sends to its own request. A visit that's both booked and paid gets one request per trigger you switch on, so if you take bookings, you may only want one of the two. Square tells us about each payment, appointment and invoice as it happens, and every night we re-read the last two days in case anything was missed. On connect we import 90 days of history for matching. Nobody in it is messaged.
Connect Square
Open Integrations, then the Automate review requests tab, and click the Square card. It takes you straight to Square: sign in as the owner of the business and allow access. There's no key or token to copy. Reviewflowz gets read-only access to your business profile, payments, customers, orders, team members, appointments and invoices, and never writes to Square.
Back in Reviewflowz, the panel shows when we last checked Square and the date requests start from.
Link your Square locations
Under Locations, give each Location in Square one of your locations, so its customers are sent to the right review page. For Fade & Finch, South Congress and East Austin each point at their own Google profile.
A location you leave Not linked still sends. We use the closest of your locations to the customer's address in Square, and otherwise the location in Fall back to. Click Refresh list after opening a new location in Square.
Set up the request
Click + Add a trigger, choose the event under Trigger on and switch the row on. That creates its request as a draft, linked from Sends to.
Timing. Fade & Finch texts 3 hours after an appointment ends, with a reminder 2 days later, and emails a day after a walk-in payment. Delays run from as soon as possible to 7 days, with up to 3 messages, and follow-ups stop once a customer clicks, reviews or unsubscribes.
Channel. Each trigger has its own request, so each can use its own channel: SMS for appointments, email for payments. A customer without that email or phone is skipped.
Message. For email, write the From name ("Fade & Finch Barbers"), the subject ("How was your visit, {{first_name}}?", which Camila sees with her name), the body and the button ("Review Fade & Finch"). Texts count to 160 characters, link included. WhatsApp sends an approved template. Send myself a test before going live.
Direct reviews to. Smart routing gives one button and sends each customer to the site you need most, here as many Google reviews as possible and a set number on Yelp. Show all options on the email gives each site its own button, on email only.
Turn it on
Open each request from Sends to and click Turn requests on. Visits from after you connected get a request, and only while it's on. A customer who comes in while it's off isn't asked later. A visit that reaches us more than 7 days late (an outage, a late webhook) is recorded but never asked about.
See what it brings back
The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped. A matched review names the team member on the visit, so a review from Camila's appointment lands on her barber. The Team Attribution Leaderboard under Reports > Dashboard ranks your team by reviews, and the CRM Integration widget tracks requests, clicks and matches.
Good to know
Many card payments carry only a cardholder name. Those customers can't be asked, but their reviews can still be matched by name. The panel shows how many.
Appointments and invoices need Square Appointments and Square Invoices in use. If Square won't share them, the trigger list says so. Authorize with Square again to fix it.
One Square business per Reviewflowz account. Only the teammate who connected Square can change its settings.
If the panel shows Authorization lost, click Authorize with Square again. Your triggers and location links are kept.
Disconnect keeps your contacts, requests and location links. Visits taken while disconnected never get a request.
