When an order with a customer assigned is closed and paid on your Lightspeed K-Series POS, Reviewflowz asks that customer for a review. The review that comes back is matched to the order and its restaurant, and credited to the server on the check.
How it works
Staff assign a customer to an order on the POS, and the order is closed and paid.
Within the hour, Reviewflowz reads the order, its customer and the server on the check.
The request goes out after your delay.
The customer's review is matched to the order, the restaurant and the server.
What triggers a request
Trigger | When it fires | Who is asked |
An order is paid with a customer assigned | The order is closed and paid on the Lightspeed POS | The customer assigned to the order |
The trigger is on from the moment you connect and feeds one request, Lightspeed order paid.
Only orders rung up on your Lightspeed POS count: online and delivery-app orders are never asked. Customers aren't asked when your restaurant or the customer is in the EU, the UK or Switzerland.
Orders paid before you connected are imported so their reviews still match. Nobody is messaged for those.
Connect Lightspeed K-Series
You connect with an API client that Lightspeed sets up for your business:
Custom API access. It's a paid add-on from Lightspeed, and you get it through your Lightspeed Account Manager (Lightspeed's custom integrations page).
Turnaround. Setting up the API client can take up to 48 hours.
Account. Your live K-Series account, signed in with the login you use for your restaurant's Back Office.
Ask Lightspeed for your API client. Contact your Account Manager, request access to the K-Series API, and fill in the technical contact form. Paste this:
Please set up custom API access to the K-Series API for Reviewflowz: a production API client with the financial-api and offline_access scopes, and https://app.reviewflowz.com/integrations/lightspeedkseries/callback as the redirect URI.
Lightspeed emails you a Client ID and Client Secret. Already have an API client for another tool? Email [email protected] with your Client ID to add that redirect URI, and ask your Account Manager for whichever of the two scopes it lacks.
In Reviewflowz, open Integrations, go to the Automate Review Requests tab and click the Lightspeed K-Series card. If you already have an integration connected there, click Connect another integration first. Paste the Client ID and Client Secret and click Connect Lightspeed K-Series.
In Lightspeed, sign in with your Back Office login and approve Reviewflowz. Here is Lightspeed's sign-in page where you approve access, shown with Lightspeed's own example client:
At the POS, staff tap Assign customer on an order and pick the customer, or add a new one. That's what lets Reviewflowz ask them. Lightspeed's guide to assigning a customer shows the same screens.
Link your restaurants to locations
Under Locations, give each Location in Lightspeed the Reviewflowz location whose review profiles its customers should see. Copper Kettle Bistro links Hawthorne and Pearl District to their own locations. A location you leave unlinked isn't read. If your Reviewflowz account has one location, the Lightspeed location is linked to it for you. Opened a new restaurant? Click Refresh list and link it.
Set up the request
Timing. An order counts from when it's closed, and your delay comes on top. Copper Kettle Bistro emails 3 hours after the meal, then sends a reminder 3 days later with the subject "One more thing about your visit, {{first_name}}". Up to 3 messages, and follow-ups stop once a customer clicks, reviews or unsubscribes.
Channel. Email, SMS or WhatsApp, set per message.
Message. Copper Kettle's From name is "Copper Kettle Bistro", the Subject "Thanks for dinner, {{first_name}}!", which Avery Lindqvist reads as "Thanks for dinner, Avery!", and the Button text "Review your visit". Try yours with Send myself a test.
Direct reviews to. Smart routing gives one button, and your goal for reviews decides which site it opens. Copper Kettle aims for as many Google and Yelp reviews as possible. Show all options on the email lists every site instead.
Turn it on
Open Lightspeed order paid and click Turn requests on. The Syncing panel's Asking customers who pay after shows the day you connected.
When an order is refunded or voided
If an order is refunded, voided or recalled before its request goes out, the request is withdrawn.
See what it brings back
A review is credited to the server on the check, even when the customer names nobody. Bodhi Ruiz's 5-star Yelp review of Copper Kettle Bistro is credited to Rosa Delgado. The Team Attribution Leaderboard under Reports > Dashboard ranks Rosa Delgado, Nadia Okoro and Ezra Quinlan by the reviews they earn.
The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped. The CRM Integration widget tracks requests, links clicked and reviews matched from Lightspeed K-Series.
Good to know
If Reviewflowz says your API client doesn't include the offline_access scope, ask your Account Manager to add it, then connect again from the card.
If it says the login doesn't open a K-Series business, sign in with the login you use for your restaurant's Back Office.
If Lightspeed stops accepting our access, the card shows Reconnect needed. Click Authorize Lightspeed K-Series again. Your trigger and location links are kept.
The Syncing panel counts paid orders with no customer email or phone. They're still kept, so a review can be matched to them by date and server.
Disconnect stops the reads and withdraws every request that hasn't gone out.
