When a customer pays an invoice in full in QuickBooks Online, Reviewflowz asks them for a review. The review that comes back is matched to that customer and the invoice they paid.
How it works
A customer pays an invoice in full in QuickBooks Online.
Every two hours, Reviewflowz reads your payments and invoices.
The request goes out after your delay.
The customer's review is matched to the customer and the paid invoice.
What triggers a request
Trigger | When it fires | Who is asked |
An invoice is paid | The invoice's balance reaches 0, with a payment recorded against it | The customer on the invoice |
The trigger is on from the moment you connect and feeds one request, QuickBooks invoice paid. The customer is asked by the billing email on the invoice, or by the email and phone on their customer record.
Customers aren't asked when your business or the customer is in the EU, the UK or Switzerland.
Invoices paid before you connected are imported so their reviews still match. Nobody is messaged for those.
Connect QuickBooks Online
There's nothing to copy or paste: you sign in to QuickBooks Online, approve Reviewflowz and you're connected right away. It works with any QuickBooks Online subscription, at no extra cost. What you need:
Who. The primary admin or a Company Admin of the QuickBooks Online company. An accountant firm owner can connect it for a client (Intuit's guide).
Locations. Splitting invoices by location needs QuickBooks Online Plus or Advanced. With one location, any plan works as it is.
In Reviewflowz, open Integrations, go to the Automate Review Requests tab and click the QuickBooks Online card. If you already have an integration connected there, click Connect another integration first. QuickBooks Online opens in its place.
In QuickBooks Online, sign in as an admin, pick your company and click Connect. Intuit's page looks like this, with your company and Reviewflowz in place of the sample names:
You land back in Reviewflowz, connected to that company, with a draft request ready for you to finish.
Link QuickBooks locations to your locations
To split invoices by location, turn on location tracking in QuickBooks Online: go to Settings, then Account and settings, Advanced, Categories, turn on Track locations and save. Add your locations under Settings, then All lists, Locations (Intuit's guide).
Then, under QuickBooks locations in Reviewflowz, give each Location in QuickBooks the Reviewflowz location whose review profiles its customers should see. Ridgeline Landscaping links Ridgeline North and Ridgeline South to their own locations. Invoices with no QuickBooks location, or one you haven't linked, use the Fall back to location. With one location, or none tracked in QuickBooks, every paid invoice uses the Fall back to location and there's nothing to turn on. Added a location? Click Refresh list.
Set up the request
Timing. The delay counts from the payment. Ridgeline emails 1 day after an invoice is paid, then sends a reminder 3 days later with the subject "How did we do, {{first_name}}?". Up to 3 messages, and follow-ups stop once a customer clicks, reviews or unsubscribes.
Channel. Email, SMS or WhatsApp, set per message.
Message. Ridgeline's From name is "Ridgeline Landscaping", the Subject "Thanks for choosing Ridgeline, {{first_name}}", which Hannah Webb reads as "Thanks for choosing Ridgeline, Hannah", and the Button text "Review our work". Try yours with Send myself a test.
Direct reviews to. Smart routing gives one button, and your goal for reviews decides which site it opens. Ridgeline aims for as many Google and Yelp reviews as possible. Show all options on the email lists every site instead.
Turn it on
Open QuickBooks invoice paid and click Turn requests on. The Syncing panel's Asking customers who pay after shows the day you connected.
When an invoice is voided or its payment removed
If the invoice is voided or deleted, or its payment is removed, before the request goes out, the request is withdrawn.
See what it brings back
Every review is matched to the customer and the paid invoice it followed, so you see which work earned it. The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped, and lists each customer with the state of their request. The CRM Integration widget under Reports > Dashboard tracks requests, links clicked and reviews matched from QuickBooks Online.
Good to know
If Reviewflowz is disconnected from the Apps page in QuickBooks Online, the card shows Reconnect needed. Click Authorize QuickBooks Online again and sign in as a QuickBooks Online admin. Your request and location links stay as they are.
If the card says QuickBooks Online no longer lets us read the company, check that its subscription is active, then click Authorize QuickBooks Online again, signed in as an admin.
The Syncing panel counts customers who can't be asked, such as a customer with no email or phone. They're still kept, so a review from that customer is matched by name.
A second QuickBooks Online company connects the same way and gets its own request.
Disconnect removes Reviewflowz's access in QuickBooks Online and withdraws every request that hasn't gone out.
