When an appointment is Completed in Fresha, which happens at checkout, Reviewflowz asks the client for a review. The review that comes back is matched to the appointment and credited to the team member who provided the service.
How it works
You check out an appointment in Fresha, and it becomes Completed.
Reviewflowz checks Fresha every two hours and reads the appointment, its client and its team members.
Once the appointment has ended, the request goes out after your delay.
The client's review is matched to the appointment, the location and the team member.
What triggers a request
Trigger | When it fires | Who is asked |
An appointment is Completed (checked out) | The appointment is Completed in Fresha and its last service has ended | The client on the appointment |
The trigger is on from the moment you connect and feeds one request, Fresha review requests.
Clients aren't asked when your business or the client is in the EU, the UK or Switzerland.
Appointments from before you connected are imported so their reviews still match. Nobody is messaged for those.
Connect Fresha
Reviewflowz reads your appointments through Fresha's Data connector, a paid add-on any Fresha plan can turn on:
Cost. $295 per location, billed monthly, with a 7-day free trial (Fresha pricing).
Who. A team member whose permissions include Account setup and Manage Data connections, in a web browser.
Turnaround. Right away: you turn it on yourself, with no request to Fresha.
In Fresha, open Add-ons, click View on the Data Connector card, then Continue and Enable. Fresha's Data connector overview shows the same page.
Then go to Reports, choose Data connector in the left panel and click Add. Click Continue, choose Custom tool, enter Reviewflowz and click Create connection. Fresha shows the Database details and emails them to you too. Copy the Password straight away: Fresha shows it only once. Make this connection just for Reviewflowz, so your other tools keep their own password. Fresha's guide to creating Data connections walks through it.
In Reviewflowz, open Integrations, go to the Automate Review Requests tab and click the Fresha card. If you already have an integration connected there, click Connect another integration first. Paste each line of the Database details: Account URL, Username, Password, Warehouse name, Database name and Schema. Click Connect Fresha. Your Fresha locations fill the Locations list, and a draft request is ready for you to finish.
Link your locations
Under Locations, give each Location in Fresha the Reviewflowz location whose review profiles its clients should see. Indigo Bloom links its SoHo and Park Slope salons to their own locations. Appointments at a location you haven't linked use the Fall back to location. If your Reviewflowz account has one location, the Fresha locations are linked to it for you. Set up the request
Timing. An appointment counts from its end, and your delay comes on top. Indigo Bloom emails 3 hours after the appointment, then sends a reminder 3 days later with the subject "How's the new look, {{first_name}}?". Up to 3 messages, and follow-ups stop once a client clicks, reviews or unsubscribes.
Channel. Email, SMS or WhatsApp, set per message.
Message. Indigo Bloom's From name is "Indigo Bloom", the Subject "Thanks for coming in, {{first_name}}", which Olivia Hart reads as "Thanks for coming in, Olivia", and the Button text "Review your visit". Try yours with Send myself a test.
Direct reviews to. Smart routing gives one button, and your goal for reviews decides which site it opens. Indigo Bloom aims for as many Google and Yelp reviews as possible. Show all options on the email lists every site instead.
Turn it on
Open Fresha review requests and click Turn requests on. The Syncing panel's Sending requests for appointments completed since shows the day you connected.
When an appointment is cancelled or a No-show
If every service on an appointment is cancelled or marked No-show before its request goes out, the request is withdrawn.
See what it brings back
A review is credited to the team member on each service of the appointment, even when the client names nobody. Audrey Collins's 5-star Google review of Indigo Bloom Park Slope is credited to Rafael Duarte. An appointment with several team members credits each of them. The Team Attribution Leaderboard under Reports > Dashboard ranks Rafael Duarte, Talia Brooks and Marisol Vega by the reviews they earn.
The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped. The CRM Integration widget tracks requests, links clicked and reviews matched from Fresha.
Good to know
Reset in Fresha gives the connection a new password (managing Data connections). The card then turns red: enter the new password with Enter new credentials. Your request and location links stay as they are.
If the card says the connection no longer reaches your appointments, check under Reports, Data connector that the connection is Active and that the Data connector add-on is on. Reviewflowz picks it up again on its own.
The Syncing panel counts clients who can't be asked, such as a client with no email or phone. They're still kept, so a review from that client is matched by name.
A second Fresha business on the same account gets its own request, named after it.
Disconnect stops the checks and withdraws every request that hasn't gone out.
