When you complete a project in Protemos, Reviewflowz asks the client's contact person for a review. The review that comes back is matched to that project and credited to its project managers.
How it works
You click Complete on a project in Protemos, or the client accepts its completion in the Client portal.
Within the hour, Reviewflowz reads the project, its contact person and its managers.
The request goes out after your delay.
The client's review is matched to the project and credited to the primary and secondary project manager.
What triggers a request
Trigger | When it fires | Who is asked |
A project is completed | The project's status becomes Completed, or Completion accepted | The contact person set on the project |
The trigger is on from the moment Protemos is connected and feeds one request, Protemos review requests. Each project is asked about once, even when the client then accepts its completion. When a project has no contact person, or that person no longer works for the client, the client's own email and phone in Protemos are used.
Clients in the EU, EEA, UK or Switzerland are kept for matching and never asked, and so is every project when your default legal entity in Protemos, or the location a project is linked to, is in one of those countries.
Projects completed in the 90 days before you connected are imported so their reviews still match. Nobody is messaged for those.
Connect Protemos
You connect with your Protemos API key. No Protemos approval is needed:
Licence. Protemos opens its API to accounts with an active licence, trials included.
Who. Only the account owner sees the key. If you're not the owner, ask them to copy it for you.
In Protemos, open Settings, then Account, and copy the key in the API key row. Protemos's own pages are Account and Update account details.
In Reviewflowz, open Integrations, go to the Automate Review Requests tab and click the Protemos card. If you already have an integration connected there, click Connect another integration first. Paste the key into API key and click Connect Protemos. The Connection card shows your Protemos account and its Legal entities.
Link your legal entities to locations
Under Legal entities, give each Legal entity in Protemos the Reviewflowz location whose review profiles its clients should see. Parlance Translation Co. links Parlance Translation Co. and Parlance Traducciones S.L. to its location. Projects of a legal entity you haven't linked use the location in Projects with no linked legal entity belong to. If your Reviewflowz account has one location, every legal entity is linked to it for you at the first read.
Set up the request
Timing. A project counts from the moment it is completed, and your delay comes on top. Parlance Translation Co. emails 1 day later, then sends a reminder 3 days after that as Message 2. Follow-ups stop once a client clicks, reviews or unsubscribes.
Channel. Email, SMS or WhatsApp, set per message.
Message. Parlance Translation Co.'s From name is "Parlance Translation Co.", the Subject "How did your translation turn out, {{first_name}}?", which Avery Collins at Harlow & Pike LLP reads as "How did your translation turn out, Avery?", and the Button text "Review your project". Try yours with Send myself a test.
Direct reviews to. Smart routing gives one button and picks the site for your goal. Parlance Translation Co. aims for as many Google and Yelp reviews as possible. Show all options on the email lists every site instead.
Turn it on
Open Protemos review requests, finish the message and click Turn requests on. The status line reads "Sending requests to every new contact", and the Syncing panel's Sending requests for projects completed since shows the day you connected or switched the trigger on.
When a project is cancelled or sent back to work
If a project is cancelled, or sent back to work, before its request goes out, the request is withdrawn.
See what it brings back
Every review is matched to the client and the project it came from, and credited to the project's managers. Leo Abernathy's five star review, "We've sent Parlance every manual update this year. Ines keeps our glossary straight and the deadlines have never slipped.", lands on Ines Duarte. Reports > Dashboard > Team Attribution Leaderboard counts the reviews credited to each project manager, Mira Castellanos, Theo Lindgren and Ines Duarte at Parlance. The Requests page counts Contacts, Requests, Clicked CTA, Matched and Stopped, and the CRM Integration widget under Reports > Dashboard tracks requests, links clicked and reviews matched from Protemos.
Good to know
If the Connection card turns red, copy the API key again from Settings, then Account in Protemos and enter it with Enter new credentials. If the key there is the same, check your licence is active under Settings, then License. Your request and legal entity links stay as they are.
The Syncing panel counts clients who can't be asked, such as a project with no email or phone. They're still kept, so a review from that client is matched by name.
A second Protemos account connects on its own and gets its own request, named after it.
Disconnect stops the reads and withdraws every request that hasn't gone out.
